This policy explains what personal data Table Tennis Tournaments (tabletennis-tournaments.com) collects, why, and what rights you have. We collect only what is needed to run a public directory of table tennis tournaments.
Who is responsible for your data

What we collect
- Organiser account: e-mail address, password (stored encrypted), organiser or club name, website, country, city or village, first and last name, phone number and the optional text about your club.
- Tournaments you publish: tournament details, venue and address, dates, entry fee, registration link, files or images you upload, and the contact e-mail and phone number you enter for the tournament. These tournament details, including the tournament contact e-mail and phone, are published publicly so that players can contact you. Only enter contact details you want to be public.
- Location you type into the distance search: the place name you enter is sent to our server to find its coordinates and calculate driving distances. If you use the “locate me” button, your browser asks for permission and the approximate position is used only to calculate distances; we do not store it.
- Technical data: IP address, browser type and pages visited, recorded in server logs and, if enabled, in analytics (see below).
Why we use it (legal basis)
- To create and run your organiser account and publish your tournaments – performance of the service you requested.
- To contact you about your account or tournaments, and to prevent spam and abuse – our legitimate interest in running a reliable directory.
- To understand how the site is used and improve it (analytics) – your consent, where required.
- To meet legal obligations, for example responding to requests from authorities.
Who receives your data
We do not sell your data. We use the following service providers, who process data on our behalf or as independent providers:
- Our web hosting provider, which stores the website and its database.
- Google (Google Tag Manager and analytics, reCAPTCHA spam protection, Google Fonts, Google Translate for the language switcher). Google may process data outside the EU under its own safeguards.
- OpenStreetMap-based services and GeoNames data, used to find places and calculate distances.
- Meta (Facebook, Instagram) and WhatsApp only when you follow a link or share button to those services.
Cookies
We use cookies that are necessary for the site to work (for example to keep you logged in and remember your chosen language). Analytics cookies are used only to measure visits; where consent is required, they are used only after you agree. You can delete or block cookies in your browser settings.
How long we keep data
- Account data: while your account is active. If you ask us to delete your account, we delete it within 30 days.
- Published tournaments: kept as a public archive of past events unless you ask us to remove them.
- Server logs and analytics: according to the retention settings of the provider, normally no longer than 14 months.
Your rights
You can ask for access to your data, correction, deletion, restriction of processing, data portability, and you can object to processing or withdraw consent at any time. Most account and tournament details can be changed directly in My Account. For anything else write to info@tabletennis-tournaments.com. You also have the right to lodge a complaint with a data protection authority – in Serbia the Commissioner for Information of Public Importance and Personal Data Protection, or the authority in the EU country where you live.
Children
Organiser accounts are intended for adults and clubs. Do not publish personal data of children in tournament descriptions or images without the consent of their parents or guardians.
Changes
If we change this policy we will update the date at the top of this page.
